1. Why this is a financial decision, not a technical one
Spare parts are the item buyers most often cut to close a negotiation, and the one that most reliably costs more than it saved. The arithmetic is straightforward: compare the price of a stocked kit against the value of production lost while a part travels.
A missing proximity sensor is a small purchase. Sourced from abroad it becomes an air waybill, a customs entry and a wait, and the line stands still through all of it. The part cost is trivial; the downtime cost is not. That asymmetry is the entire argument for holding stock, and it gets stronger the further your plant is from a supplier.
Do the calculation with your own numbers. Take daily output, margin per bottle and the realistic lead time for an urgent part into your market. One week of stoppage usually exceeds the cost of the recommended two-year kit by a wide margin. Once that number is on paper the decision stops being a negotiation point.

5. Keeping the store honest
Spare parts stores decay quietly. A kit is bought, used during the first year, and never replenished; two years later the shelf looks full and contains nothing useful. Three habits prevent that:
- Log every withdrawal. Part number, date, machine, reason. This log becomes your real consumption data and replaces guesswork at the next order.
- Set reorder levels, not reorder dates. Reorder when stock falls to half, because consumption follows production volume, not the calendar.
- Review annually against the log. Parts you never used can be reduced; parts you replaced three times need a root-cause look, because repeated failure of the same item is a symptom, not bad luck.
Repeated failures deserve particular attention. A sensor that fails every few months is usually reporting a mechanical problem — vibration, misalignment, water ingress — and replacing it faster is treating the symptom. - Freight. Spares travel in the same container. A separate later shipment carries its own freight, customs entry and clearance cost for a fraction of the value.
- Correctness. The builder selects the parts against your exact machine configuration and serial number, which removes the wrong-part risk entirely.
